     Outbound Call Blast is like an Auto Dialer but without the pricy equipment expense and maintenance!
 
     Have you ever had a need to deliver the same exact message to a large number of clients all at once?
 
     For example, perhaps you need to announce the release of a new Product or Service to existing clients. Or maybe to send a reminder to a certain number of clients that they need to make an order before a certain date/time in order to qualify for reduced pricing.
 
     Most people rely on e-mail to do this, however e-mail is often undeliverable due to something as simple as a full inbox or Spam filters. E-mails often go unread or are totally ignored. Even if the e-mails are read by the subscriber the written word is not nearly as clear, emotional, or as personal as the spoken word.
 
     Outbound Call Blast helps you to overcome those limitations!
 

How does it work?

 
     The Outbound Call Blast feature allows you to maintain one or many individual lists of names and phone numbers of existing clients*. You then have the ability to dial into your Phone Profit system, record a personal outgoing message and then select which list that message should go out to as well as when it is to be delivered.
 
     Phone Profit then makes an outbound call at the designated time to all individuals on the list and plays your message to them.
 
     Phone Profit Outbound Call Blast is smart enough to know the difference between an answering machine and a live person and will play the message appropriately. Callers listening to the message live can choose to respond to the message which will re-direct them to your Phone Profit system, or opt out of receiving future messages.

     The List Management features for Outbound Call Blast allow you to edit and delete individual persons on the list or an entire list.

     Would it be nice to know, without a doubt, which of your advertising and promotional efforts work and which ones waste your time and money? When Ad Tracker is turned on, you will know! 

How does it work?

 
     You come up with various 1 to 3 digit Ad Codes to place in your ad alongside your Phone Profit number. For example you would advertise your Phone Profit number and Mention Code 469 in all of your USA Today ads. You would use the same method for your postcard mailings except you would use Code 378. And for all ads in your local newspaper use Code 167. You can come up with countless variations of numbers for each of your ad campaigns!
 
     When Ad Tracker is turned on, all callers will be prompted to provide the Ad Code that was displayed in the ad they are responding to. Once they enter those digits, they will then hear your Main Greeting play. When you access your Inbox, Phone Profit will inform you of the Ad Code the caller entered along with their message.
 
     This money saving feature of Phone Profit does the following:
  • Enables you to monitor your advertising results and help you quickly determine which advertising efforts are generating the most calls.
  • Enables you to know without a doubt which ads your interested prospects saw and responded to.
  • Helps you control your advertising costs by allowing you to define and drop advertising that is not generating a reasonable response rate.

Why is that a big deal? 

 
     A physical PBX Phone system will NOT provide you with your own dial in number, much less a Toll-Free one; this would be an extra expense through your local phone company.
 
     In addition, using a Toll-Free number for your business says a lot about you. Customers and prospects will perceive that your business is more solid, well established and successful. You also remove any hesitation to call because your prospects won’t incur potential long-distance charges. 
 
     Toll-Free numbers typically have a 50% greater response rate than local numbers.      This number will be a random 866, 877 or 888 prefix. Due to the increased shortage of 800 prefixes, we require a one time surcharge of $50 if you wish to have a randomly selected 800 prefix instead of the 866, 877 or 888 prefixes.

     Most Voicemail and Virtual PBX companies charge per minute on all calls into your system, we do not. We only charge for outbound calls.
 
     Consider for a minute what happens when an incoming call to an extension is set up with Call Forwarding. Technically two calls are being made through the system at the same time, one call coming in (inbound) and the second call being made when Phone Profit dials out to your Call Forwarding number of choice (outbound). Many companies charge you for both calls so a Call Forwarded call eats up twice the minute usage. Not us! The incoming is always free, we only charge for the outbound*.

How does it work?

 
     Traditional PBX Phone Systems view each extension as an actual physical phone at a specific location within the office. Incoming calls are forwarded to the physical desk where that phone resides. With Phone Profit, it acts as a Virtual PBX system with no physical limitations and connects extensions to actual people no matter where those people choose to have calls routed to.
 
     For the caller this goes unnoticed, as the caller is simply dialing the main company phone number and choosing the appropriate extension. Phone Profit then routes the call to the appropriate person for that extension at the locations of his choosing no matter where that may be!
 
     Live Call Forwarding will forward calls to up to 5 different phone numbers in a specific order of your preference! These calls can ring directly to your forwarded number or Phone Profit can announce the name of the caller and let you choose to accept the call, transfer the caller to voicemail or record a message to be played to them prior to sending them to your voicemail. Once you accept the call, you can forward the caller to another extension or even another phone number altogether (see Live Call Transfer). This creates the impression of a single office even if you and your employees work from different geographical locations.

     This feature is available for the Main Greeting, Message Taking Mailbox Extensions, Greeting Only Mailbox Extensions and Virtual PBX Extensions.

     Each of these extensions can be set to forward to totally different people as well. This is great for connecting all your employees or departments through one central number!

     Think about it; even though your physical office is located in North Carolina, your Sales person can be in New York, your customer care person can be in California and so on. To your caller it is as if they are all located in one place sitting next to one another in cubicles! With the Live Call Transfer feature one person can even transfer a caller to another persons extension.

     A classic example of how beneficial the Live Call Forwarding feature with multiple number dialing options can be is this; how often have you been waiting on an important phone call and perhaps you suddenly need to leave the office quickly? Or you just can’t sit around and wait for that call to come in. In either scenario your calls can continue to be connected to you no matter where you go throughout the day.

     Live Call Forwarding even allows for you to enter a main number and an extension number for calls to be forwarded to! With this functionality you can be staying at a Hotel or visiting another facility with office or room extensions and Phone Profit is smart enough to dial the number and, when connected, then dial the extension number of your room in order to connect you!

     Numerous Scheduling Options - You can even configure the days and times of day that you want to be available so you will not get caught off guard. Being available to your callers is better customer service, and at the same time, you can screen your calls enabling you to send time wasters to voicemail.      Transfer callers between extensions/mailboxes just like a large corporate phone system! This is a feature that most Virtual PBX systems do not provide.

How does it work?

 
     Live Call Transfer allows you to accept a call and then if need be transfer the caller to another extension or phone number.
 
     This is where many Virtual PBX systems require the caller to dial back into the main number and re-select another extension. Not with Phone Profit!
 
     With Live Call Transfer you simply place the caller on Hold, which allows them to listen to On-Hold Music, and then follow the prompts for one of four types of transfers.
 
     Four Live Call Transfer Options
  • Supervised Transfer: Place the caller on-hold, dial another extension, communicate with the extension user and then connect the caller to that extension.
  • Blind Transfer: Place the caller on-hold and then transfer them to another extension without communicating with the extension user. 
  • Voicemail Transfer: Place the caller on-hold and transfer them directly into the voicemail box of a specific extension user. The system will not try to dial the extension and connect the caller. 
  • Call Re-Direct: Place the caller on-hold and enter another phone number (not extension) for the Phone Profit system to deliver the call to.

     Here are some examples of our more popular transfer options.

     Example of a Supervised Transfer: Perhaps you are the Sales person for the company, and an existing customer has chosen your extension because she has questions on a new product. Once you have covered those questions the caller mentions that she has a technical support question. This is outside your realm of expertise, so you offer to transfer the caller to the appropriate department.

     So as to provide the absolute best customer service to the caller, you perform a Supervised Transfer to Bob at the Technical Support extension. When Bob picks up you are able to speak with him regarding the customer's needs and then finalize the transfer. Meanwhile the caller is listening to On-Hold Music.

     For example in the above scenario your Supervised Transfer may go like this:

     John - Hey Bob, this is John from Sales. I have Mary Smith on the line; she is an existing customer and is experiencing an issue with her service. Can you take the call and help her out?

     Bob – Sure John, I will see what I can do for her.

    John – Great, thanks for taking good care of her; she is considering an upgrade to our new product. I will transfer her now.

     Thanks to this Supervised Transfer through Live Call Transfer Bob from Technical Support can accept the call after speaking with John and amaze the customer by answering Hi Mary, this is Bob. John from Sales mentioned you were experiencing an issue with your service, how can I help you today?

     Example of a Voicemail Transfer: Using the same scenario from above; perhaps when John calls Bob he tells John that he was just about to call another client for a previously scheduled appointment and can’t speak to Mary Smith at this exact moment. Bob then asks John to send Mary to his voicemail and he will call her back first thing when he is finished with his appointment.

     In this scenario John can still provide excellent service to Mary. When he returns from speaking to Bob he says. “Mary unfortunately our Technical Support department is busy helping other clients. However I am going to transfer you to John’s voicemail and ask you to leave him a brief message explaining your issue as well as your contact info and he will get right back to you. Please hold while I transfer you, thank you.”

     Example of a Call Re-direct: In addition to transferring to another extension Live Call Transfer can even re-direct a caller to another phone number!

     This is similar to a Call transfer to an extension but this allows you to enter any phone number regardless of whether it is on your forwarding schedule or not.

     Here is a scenario of how this would work. You have Call forwarding set to your cell phone and you take a call as you are walking into your office (or home). It is someone you really need to talk to but prefer to do so from your office phone. You press a key on the phone which puts the caller on hold and allows you to enter any phone number into the system, press another key and then the call rings to that new number so you can now pick up the call at the office desk phone.

     It would also work in the reverse for times when you are on an important call and need to leave the Office. You can put the caller on hold and re-direct the call to your cell phone so as to continue the conversation as you leave the Office. Your caller will not even know they are being transferred, they simply feel they are on hold!

     Live Call Transfer truly gives you a Big Business image with a Small Business Price!

     Call Announcement works with the Live Call Forwarding feature to announce Live Calls being forwarded to the number of your choice. 

How does it work?

 
     If this feature is turned on you will receive a call forwarded from the Phone Profit system as normal, but when you pick up the phone instead of being connected directly to the caller you will have the following choices:
  • To accept the call, press 1.
  • To send the call to voicemail, press 2.
  • To replay the callers name, press 3. (Requires Call Screening to be turned on) 
  •  To hear the Caller ID of the person calling, press 4.
  • To record a short message to caller, then transfer caller to voicemail, press 5.
  • To repeat this menu, press *

     As you see from these options, you have the ability to listen to the phone number of the caller before accepting the call, listen to the callers name and even record a short message to be played for the caller before they go into voicemail. WOW!

     With the ability to leave a message for the caller and then send them to voicemail you will save time while maintaining a professional image. As you complete a scheduled meeting several minutes later than expected, you can notify your next scheduled appointment of your delay as they call into Phone Profit. Your message to the caller would say: Hello Ed. I apologize I am just now wrapping up a meeting; I will call you back in 5 minutes. Please leave me a message with what number to reach you at.

     Call Announcement gives you maximum flexibility to choose how you wish to handle all incoming calls. This is especially great for moments when you are not in a position to talk or otherwise need to be more restrictive on which calls you take.

     In addition to the 12 Music Tracks already provided for you to choose from within Phone Profit, you have the ability to upload your own Music or Message to be played while callers are being forwarded to you. 

How does it work?

 
     Simply login to the Web Center online management area and upload a file from your personal computer or call in to your Phone Profit and record your On-Hold message via the telephone. It is that simple! And you can change it at any time!
 
     This feature is great for providing your caller with the ability to listen to a personalized sales or announcement message while they are waiting to connect to you. While you have their interest and attention why not maximize that time by playing your professional message to them?
 
     The ability to upload a file is perfect if you choose to have a professional voice talent record your personal greetings and messages for you.      Phone Profit provides you with the ability to personalize the greetings that are to be played to your callers as they interact with your Phone Profit system.
 
     The following two types of greetings can be set up for each individual Main Greeting and/or Extension type:
  • Standard Greeting: Plays whenever the caller is sent into your main number or extension. 
  • Unavailable Greeting: Plays whenever the Call Forwarding Option can not connect to you. Such as when you reject the call, when you are already on the phone and Phone Profit can not connect or when you have the Do Not Disturb feature turned on.

     In addition the following type of greeting can be set up for your Main Greeting:

     Personalized Greeting Options help your callers feel more like they are receiving your personal attention rather than feeling like they are stuck in an endless automated system.
 

  

Phone to Web Audio Coming Soon!
 
     Make any of the recordings from your mailboxes instantly accessible as audio links from your web site or email.
 
     In addition you can dial in and record a message to specifically be turned into an audio link and not available as a recording on your mailboxes.
 
     Services like Audio Generator charge $30 a month for this feature; however this feature is included at no charge with your Phone Profit System!

How does it work?

 
     In addition to providing you with the caller phone number through Ultimate Caller ID, this feature provides you with the name and address of your callers if they are listed in the white or yellow pages... for both businesses and residences.
  
     If the caller who has left you a voice message (or fax) is calling from a listed number you will have the name and address of the person that number is registered to.
 
     Phone Match enables you to more effectively follow up with your prospects since you will now have their names and address information, even if they hang up!
 
     Can you imagine calling someone back who has hung up on your Lead Capture or Presentation message and using their name to acknowledge their call to you? Powerful!


 

  

     Dial By Name Directory is a Feature for use with Virtual PBX Extensions. Each PBX Extension user has the ability to enter their name in the Web Center system. In addition they will have the ability to record their name over the phone. 

How does it work?

 
     When a caller is dialing into the Main Greeting and does not remember the extension number of the person he is calling, he has the option to press 411 at any time. The caller will then be prompted to enter between 2 and 10 letters of the last name for the person he is looking for. The system will then play the recorded name(s) of the person(s) whose last name(s) match the letters that were entered. It will also provide the ability to connect to the extension for that person.
 
     Example: The Caller has entered the phone key numbers 566 for JON as in Jones, they will now hear For Bob Jones at extension 305 press 1; for Sally Jones at extension 306 press 2. The words Bob Jones and Sally Jones are being played in the personal voice of that specific person exactly as they have recorded into the system for their extension.
 
     The caller can then choose the appropriate response and be connected! This is another feature that truly gives you a Big Business image with a Small Business Price!
 
  

     While most subscribers to Phone Profit require only one number, many organizations and large companies see the benefit of providing each of their members or employees with their own personal Toll-Free Phone Profit number.
 
     If your business requires multiple Phone Profit accounts/numbers for individual employees or agents you will have the ability to communicate with them all at once through the Voice Broadcast feature.
 
     Voice broadcasts can be sent to other Phone Profit subscribers with the press of a button.
 
     With Phone Profit you can build and specify unique broadcast lists to enable you to selectively broadcast messages to a subset of your organization such as employees/agents that are in a certain management rank, employees/agents that live in a certain area, etc.
 
     Effective voice broadcasting helps keep your company/teams motivated, informed, and updated with the most current business practices so that everyone in your organization is prepared to achieve maximum results.

     Voice Broadcasts can be up to 60 minutes in length and since the messages are managed internally there are no per minute charges for the sender or receiver of the message!

     Phone Profit can automatically maintain your Master broadcast lists so you don’t have to spend your time managing lists!

     Message Notification can be set up to notify you via telephone or pager when you receive new voicemail messages or faxes. This saves you time and money, because you do not have to keep calling your Phone Profit system, or log in online to Web Center, in order to check for new messages. Phone Profit will call you!
 
     Since the notification is immediate, Message Notification also ensures that you’ll be able to conduct timely follow up with your prospects while they are excited about your company and products, enhancing the potential to convert your leads!
 
  

     You will always know who called by accessing the detailed statistics your Phone Profit service gathers for you.
 
     Every telephone number is captured. Even blocked and unlisted numbers are captured!
 
     The phone number of the caller will be displayed, or available, to you in several ways:
  • Within your E-mail Notification
  • Online in your Inbox within Web Center 
  • Over the phone when you listen to your messages
  • Over the phone when the Caller has been forwarded to you through Live Call Forwarding
  • In your Detailed Call Reports
  • In the Call Details of your Online Invoices

     You may encounter situations that require you to be able to block certain calls from coming into the system. Perhaps you need to block certain Area Codes that your company is not licensed to do business in or you want to restrict callers from calling too often each day. Call Block gives you real time flexibility to Block Calls under certain circumstances. 

How does it work?

 
     The Phone Profit Call Block feature provides three methods of restricting who can dial your Toll-Free number.
  1. You can create, modify or delete specific numbers from a call block list
     
  2. Restrict calls from entire area codes by adding or removing them from your area code block list
     
  3. Or simply configure and activate Auto Call Block for all inbound calls. Auto Call Block lets you determine the maximum number of calls per day that you can receive from any given number so you can prevent repeat callers from abusing your system. Used in conjunction with the Ultimate Caller ID feature, Call Block allows you to effectively monitor and manage your Toll-Free number. 

     The Call Block feature of Phone Profit gives you enhanced privacy options that are not available through traditional phone carriers or PBX Systems!
 

  

     Phone Profit even works like your own personal Calling Card. Using your Toll-Free number and PIN; you are able to make outgoing calls from any phone, anywhere in the country. This feature is great for salespeople and/or during emergency situations.
 
     You simply dial your personal Phone Profit number and follow the prompts to make a call.

*Per Minute Charge is in effect for outbound dialing.
 

  

     Do Not Disturb is a setting that temporarily overrides all other Greeting and Call Forwarding settings while it is turned on.

How does it work?

 
     If you find yourself going into a meeting or you will be on an airplane for a few hours you may not want Phone Profit to ring through to you during this time period as you have programmed it to do.
 
     Rather than re-program your Live Call Forwarding preferences for those few hours you simply turn on the Do Not Disturb option. This action temporarily overrides all of your other Greeting and Call Forwarding settings and sends all callers immediately into the personal Unavailable Greeting you have recorded.
 
     Do Not Disturb is a great time saving feature, just do not forget to turn it back off when you become available so Phone Profit can continue to connect your important calls to you!
 
  

     Call Screening works with the Live Call Forwarding feature to fully screen Live Calls being forwarded to the number of your choice. You might say this feature is your new personal secretary but without the added expense. 

How does it work?

 
     If this feature is turned on the caller will be prompted to record his/her name before being connected with you. When you receive the call forwarded from the Phone Profit system instead of being connected directly to the caller you will hear the recorded name played to you. Similar to having your incoming calls screened by your personal secretary, this gives you the ability to take the call or send it to voicemail. The Call Announcement feature will then prompt the following options to be given to you; in option 3 you have the ability to replay the caller’s name.

To accept the call, press 1.

To send the call to voicemail, press 2.

To replay the caller name, press 3. (Caller's name will replay exactly as they recorded it)

To hear the Caller ID of the person calling, press 4.

To record a short message to caller, then transfer caller to voicemail, press 5.

To repeat this menu, press *

     Call Screening lets you know EXACTLY who is calling!
 

  

     This feature is especially popular among businesses so they can accommodate their individual hours of operation. 

How does it work?

 
     Your Main Greeting on the Phone Profit system has the ability to have day/night modes. Callers will hear your Standard Greeting during the day and your After Hours greeting at night and on weekends, basically whenever you are closed.
 
     This functions according to the Business Hours you schedule within Phone Profit. The After-hours Greeting would automatically come on during your non-business hours.
 
     This feature is widely used to announce that a location is now closed for business and to take the opportunity to provide the business hours of operation. The caller can then be placed into voicemail.
